How to Reply to Google Reviews (With Examples)

Your reply to a review is written for the next hundred people who read it. A short, calm, specific reply shows a business that is paying attention, and that matters most when the review is bad.

How to reply

Open your Business Profile on Google Search or in Google Maps while signed in as the owner or a manager, go to the reviews, and use the "Reply" option under each one. Replies are public, appear under the customer’s review with your business name, and can be edited or deleted later. Google may notify the customer when you reply.

Five rules for every reply

  • Reply within a few days. A reply months later reads as an afterthought.
  • Use the customer’s name and mention something specific from their review, so it does not read like a template.
  • Keep it short: two to four sentences.
  • Never share private details. No bill amounts, phone numbers or, for clinics, anything about a patient’s treatment, even if the customer mentioned it first.
  • Move arguments offline. Give a number or say you will call, and stop there.

Replying to a positive review

Thank them, name what they liked, and invite them back. Do not stuff keywords like "best salon in Hyderabad" into replies. Customers notice it, and it adds nothing.

Replying to an average review

A three-star review usually contains one specific complaint. Thank them, acknowledge that point, and say what you are doing about it.

Replying to a negative review

Do not argue in public, even if the customer is wrong. Apologise for the experience (not necessarily for the facts), give one line of context if it is needed, and offer a direct way to resolve it.

ExampleWe are sorry your phone came back with the same charging issue, Ravi. That should not happen after a repair. Please call us on the shop number and we will check it again at no charge.

If you fix the problem, the customer may update their review on their own. You can ask politely once. Never ask them to delete it or offer anything in return.

When the review looks fake

Reply briefly and factually, because customers will read it before Google acts. Then report it separately. The steps are in our guide to removing fake Google reviews.

Common questions

Should I reply to every Google review?

Yes, if you can. Replying to good reviews shows you are active. Replying to bad ones shows how you handle problems, and that is what readers are checking.

Do review replies help my Google ranking?

Google says that responding to reviews shows you value your customers. Its local-ranking guidance does not list replies as a direct ranking factor. The clearer benefit is trust from people reading the reviews.

Can I edit a reply after posting it?

Yes. You can edit or delete your reply from the same place you posted it.

Can I reply in Hindi, Telugu or another language?

Yes. Reply in the language the customer wrote in. Google shows a translate option to readers who use a different language.
